ARMA Hawaii Chapter

Rachel Torres
Administrative Supervisor
Crown Records Management

What services does your company offer to help businesses with their RIM needs?
Crown Records Management offers a full scope of services to help with businesses with RIM needs. Crown Records Management offers off site document, media & data management, document scanning and imaging, and secure document and media destruction.

How long have you been servicing businesses in Hawaii?
Crown Records Management has been servicing Hawaii for 29 years.

How has the RIM industry changed over the last 5 years?
The RIM industry has had to keep up with all the different types of records being produced and implementing the right processes and procedures in order to govern new developments in the industry. With the global use of social media, smart phones and increased e-mail, I have seen an increase of interest of e-discovery, managing electronic data and records, and the cloud.

What trends have you noticed? How do you think they have shaped the role that RIM plays in today’s business environment?
“The paperless office,” is something businesses might be trying to move towards, so there has been a lot of activity in finding ways to lessen paper usage and storage. I think this is helping to shape the type of software we use for managing electronic records and the need to be very secure in protecting data and privacy.

How does your company adjust to the ever-changing role that RIM plays in local organizations?
Crown Records Management keeps employees informed about the latest trends and new developments in the industry. Continuous training brings more knowledge to the employees which empowers them to be confident with the services that are being provided. Crown Records
Management employees share global knowledge and experiences within the company which help to embrace changes in the industry.

What advice do you have for businesses regarding their RIM needs?
My advice to businesses would be to really spend time and the manpower to ensure that they have practical policies and procedures within their company to easily and accurately manage their records. Often times it is too late when we realize that a system should have been put into place, so take the time out to really review how your records are being managed and seek out help if needed.
